Shipping Supervisor

Job Summary

The Shipping Supervisor is responsible for overseeing and coordinating all daily activities of the shipping department.This includes managing personnel, ensuring the accurate and timely preparation and dispatch of customer orders, optimizing workflow, and maintaining compliance with safety and quality standards.

The supervisor plays a critical role in the final stage of the supply chain, ensuring product integrity and customer satisfaction.

Duties and Responsibilities

  1. Personnel Management and Leadership:
    • Supervise, train, coach, and motivate shipping department staff.
    • Schedule shifts, assign daily tasks, manage time-off requests, and ensure adequate staffing levels to meet operational demands.
    • Conduct performance reviews, provide constructive feedback, and handle disciplinary actions in coordination with Human Resources.
    • Foster a positive and productive work environment focused on teamwork, safety, and efficiency.
  2. Shipping Operations and Process Management:
    • Oversee the entire shipping process, from order picking verification and packing to final loading and dispatch.
    • Ensure all customer orders are accurately packed, labeled, documented, and shipped on schedule to meet delivery deadlines.
    • Coordinate with internal departments to resolve shipping discrepancies and prioritize urgent orders.
    • Oversee the loading and unloading of trucks, ensuring compliance with weight distribution and load securement regulations.
    • Verify the accuracy of shipping documentation, including bills of lading (BOLs), commercial invoices, customs forms, and manifests.
    • Manage and control shipping supplies inventory.
  3. Safety, Compliance, and Quality Assurance:
    • Enforce all company safety policies and procedures.
    • Conduct regular safety meetings and inspections to identify and mitigate potential workplace hazards.
    • Ensure compliance with all local, state, federal, and international shipping regulations, including DOT, OSHA, and customs requirements.
    • Maintain the security of the shipping area and company assets, controlling access to the dock and inventory.
    • Monitor product quality and packaging integrity to minimize damage during transit.
  4. Inventory and Equipment Management:
    • Coordinate with Inventory Control to ensure accurate inventory counts during the shipping process.
    • Oversee the proper use and maintenance of departmental equipment.
    • Troubleshoot and resolve issues with the Warehouse Management System (WMS) or Enterprise Resource Planning (ERP) system as they relate to shipping.
  5. Reporting and Continuous Improvement:
    • Track and report on key shipping performance indicators (KPIs) such as on-time shipments, shipping accuracy, cost per shipment, and labor efficiency.
    • Analyze operational data to identify bottlenecks and implement continuous improvement initiatives to enhance efficiency and reduce shipping costs.
    • Prepare regular status reports for management on departmental performance and challenges.
  6. Dispatcher Supervisor (Backup) Duties and Responsibilities
    • The supervisor assumes responsibility for the logistics and dispatcher supervisor functions.
  7. Carrier Management and Scheduling
    • Book and schedule freight shipments
    • Negotiate rates
    • Manage the daily pick-up schedule, ensuring carriers arrive on time and loads are ready.
  8. Shipment Tracking and Issue Resolution
    • Track and trace shipments from departure to delivery
    • Investigate and resolve shipping issues, such as delayed deliveries, lost freight, or damaged goods, and manage the claims process.
  9. Documentation and System Management
    • Generate and audit all required shipping and customs documentation.
    • Maintain and update the Transportation Management System (TMS) or relevant enterprise resource planning (ERP) system with accurate freight data, rates, and carrier information.

Qualifications

Education: High school diploma or GED required. Associate’s or Bachelor’s degree in Logistics, Supply Chain Management, Business, or a related field preferred.
Experience: 3-5 years of experience in a warehouse or distribution environment, with at least 1-2 years in a supervisory or lead role, specifically within shipping operations.
Technical Skills: Proficient with Microsoft Office Suite (Excel, Word).

Work Environment

• This is a working manufacturing and production facility. As such this is a hot, dusty, loud area, and there are always moving parts. Caution and attention to your surroundings need to always be at the front of your mind as safety always starts with you.
• Primarily office-based with frequent engagement across departments and production teams

Travel

• May require occasional travel (<10%) for training, recruiting, or compliance functions

Physical Demands

While performing the duties of this Job, the employee required to use hands and fingers to handle or feel. The employee is required to stand, walk, and reach with hands and arms. Talk and hear to communicate with others. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
